Position Title: Administrative & Programs Coordinator (Contract)
Organization: Association of Tribal Archives, Libraries, and Museums (ATALM)
Funding & Term: This position is supported by grant funding and is initially structured as a nine-month independent contractor engagement, with the possibility of renewal, modification, or conversion to staff contingent on funding availability, performance, and organizational needs.
Time Commitment: Approximately 35 – 40 hours per week (Some evening or weekend availability required during conferences and peak periods)
Location: Remote (U.S.-based preferred); limited travel may be required
Reports To: President & CEO/Chief of Operations (Provides administrative and coordination support to Senior Leadership Team and designated program leads)
Position Overview
ATALM seeks a highly organized Administrative & Programs Coordinator (Contract) to support executive operations, national conferences, and multiple flagship initiatives.
The ideal candidate is detail-oriented, calm under pressure, culturally aware, and experienced in managing logistics, documentation, and communications across multiple programs.
Performance Expectations & Work Environment
This role operates in close coordination with ATALM’s senior leadership team. The Administrative & Programs Coordinator is expected to work at a level of responsiveness, accuracy, and follow-through that matches the high-performance standards of senior staff. The position requires strong judgment, reliability, and the ability to manage multiple priorities without losing attention to detail.
ATALM operates as a highly collaborative team, with senior staff cross-trained across all administrative functions. This team-based approach ensures continuity of operations, shared responsibility, and the ability for senior staff to step in as needed to support daily administrative tasks, special projects, and organizational priorities.
ATALM’s work is dynamic and fast-moving. The ability to adapt quickly to changing priorities, timelines, and external circumstances is essential. The successful contractor will remain flexible, solution-oriented, and calm under pressure, particularly during conference season and peak grant periods.
At the same time, this role offers a significant professional development opportunity. The contractor will work closely with nationally recognized leaders and gain hands-on exposure to advanced project management, large-scale convenings, grant-funded initiatives, and Indigenous-led organizational leadership. Required travel dates: September 19 – 26, 2026, Spokane, Washington, must have Passport and/or Real ID.
Key Responsibilities
1. Executive & Senior Staff Support
- Manage and coordinate complex calendars for the President/CEO
- Schedule internal and external meetings, board and advisory calls, and travel-related appointments
- Take meeting notes, track follow-ups, deadlines, and action items
- Serve as a central point of contact for scheduling and administrative coordination.
2. Conference Scholarship Program Management
- Manage conference scholarship agreements, including award notifications and documentation
- Coordinate scholarship-related lodging and hotel room blocks
- Monitor and track travel arrangements, deadlines, and confirmations
- Maintain accurate records of scholarship recipients and compliance requirements
3. Presenter & Program Participant Coordination
- Coordinate with presenters to ensure:
- Registration is complete
- Bios, photos, and session information are received on time
- Travel and lodging details are confirmed as needed
- Maintain presenter tracking lists and communicate deadlines clearly
- Serve as a point of contact for presenter-related administrative needs
4. Procurement & Supplies
- Manage purchasing of lab and program supplies, including tracking needs, approvals, and receipts
- Coordinate with program staff to anticipate supply needs in advance of convenings and workshops
- Maintain organized records
5. Program & Initiative Support
Provide administrative support for the following initiatives:
- Native Emerging Professionals Network
- Tribal Library Council (TLC)
- Strengthening Institutional Support for Native Artists (SISNA)
Responsibilities may include:
- Scheduling meetings and calls
- Managing participant lists and communications
- Tracking deadlines, deliverables, and follow-up actions
- Assisting with logistics for webinars, convenings, and working groups
6. Pacific Island Cultural Coordination Support
• Provide administrative and logistical support to the Pacific Island Cultural Coordinator
• Assist with scheduling, communications, and coordination of related activities
• Help ensure culturally appropriate and timely administrative support
7. Going Home Fund Project Administrative Support
Provide administrative support for the day-to-day activities of the Going Home Fund to include:
- Assist with the tracking of donations and financial requests in databases and project website
- Prepare acknowledgement letters and deeds of gift
Qualifications
- Minimum 3–5 years of administrative, program coordination, or executive support experience
- Demonstrated experience managing logistics, agreements, and multi-step processes
- Strong written and verbal communication skills
- Exceptional organizational skills and attention to detail
- High level of professionalism, discretion, and reliability
- Proficiency with Microsoft suite (Word, Excel, PowerPoint, Sharepoint, OneDrive), Zoom, shared document systems, and basic tracking tools
Preferred Experience
- Experience working with nonprofit organizations, tribal nations, or cultural institutions
- Experience supporting conferences, scholarships, or large convenings
- Familiarity with grant-funded environments and compliance requirements
- Comfortable working across multiple programs simultaneously.
Contract Terms
- Compensation: $30 an hour, up to 2,080 hours not to exceed $60,000 a year (renewable up to 3 years)
- Contractor responsible for taxes and benefits
- ATALM provides access to necessary systems
- Confidentiality and data protection required
- Scope may evolve based on organizational priorities

Multiple session proposals will be considered. Submit a separate proposal for each session. Double sessions require two submissions labeled “Session 1 of 2” and “Session 2 of 2.”

- Accessibility considerations
- Presenter information (as it should appear in the Program)
PRESENTER RESPONSIBILITIES:
Conference presenters carry significant responsibilities. All presenters are expected to:
- Register for the conference once their session is accepted. Presenters are eligible for member rates.
- Prepare and deliver high-quality, well-organized presentations.
- Design sessions that encourage meaningful audience engagement, appropriate to the format.
- Attend the conference and contribute to the exchange of ideas and knowledge.
Presenter support and conference scholarships are available on a limited basis to help offset registration and lodging costs. Priority consideration is given to presenters serving Native communities and/or contributing more than one session. Support must be approved in advance and does not waive registration requirements unless explicitly stated.

PURPOSE
The Institute of Museum and Library Services has made a three-year commitment to support the Pacific Island Cohort as it builds connections, elevates Pacific Island voices, and strengthens long-term capacity and collaboration among Indigenous cultural institutions across the Pacific and beyond.
GOALS OF THE PACIFIC ISLAND COHORT
The Pacific Island Cohort is designed to strengthen long-term relationships, professional capacity, and visibility for Indigenous cultural institutions and practitioners across the U.S. Pacific Territories and Freely Associated States. The goals of the Cohort are to:
- Build lasting professional networks: Connect Pacific Island cultural practitioners with one another and with peers across the ATALM community to reduce isolation and foster ongoing collaboration.
- Increase Pacific Island representation and voice: Support Pacific Island delegates in sharing knowledge, perspectives, and practices through conference sessions, discussions, and future ATALM programming.
- Strengthen institutional capacity: Provide access to practical training, peer learning, and resources that support archives, libraries, museums, and cultural centers in Pacific Island communities.
- Create pathways for knowledge exchange: Encourage delegates to contribute sessions, panels, or workshops that reflect Pacific Island priorities, approaches, and innovations in Indigenous cultural stewardship.
- Support sustained engagement beyond the conference: Establish a cohort that continues to connect before, during, and after ATALM2026 through virtual gatherings, shared projects, and future convenings.
- Lay the groundwork for future collaboration and investment: Help ATALM better understand Pacific Island needs and opportunities, inform future programming, and strengthen the case for continued funder support.
PROJECT DESIGN
To support participation at the 2026 International Conference of Indigenous Archives, Libraries, and Museums (ATALM2026) in Spokane, Washington from September 21-24, funding is available for up to 25 Pacific Islander Delegates.
Delegate support includes:
- Roundtrip airfare (including reasonable layover expenses)
- Lodging
- Conference registration
- Local transportation
- Per diem
This opportunity is made possible through support from the Institute of Museum and Library Services (IMLS) and the Association of Tribal Archives, Libraries, and Museums (ATALM).
Applications are reviewed on a rolling basis until funds are fully allocated. To ensure consideration, apply as early as possible and no later than March 2, 2026.
ELIGIBILITY
Applicants must work within an Indigenous cultural setting in one of the following U.S. Pacific Territories or Freely Associated States:
- American Samoa
- Commonwealth of the Northern Mariana Islands
- Federated States of Micronesia
- Guam
- Republic of the Marshall Islands
- Republic of Palau
DELEGATE EXPECTATIONS (IMPORTANT)
This delegate program is designed to support both attendance and contribution. Selected delegates are expected to:
- Engage in pre-conference and post-conference delegate gatherings via Zoom
- Advise on conference programming that serves the interests of the Cohort and the broader conference audience. Support is provided to assist delegates with proposal development if needed.

The Community Impact Awards acknowledge and celebrate initiatives that exemplify community engagement, innovation, and overall excellence. Initiatives that are replicable in other communities receive priority consideration.
USA-based and international organizations may submit multiple projects/services for consideration, but a new form must be submitted for each initiative.

1. Award recipients are expected to:
- Work with ATALM to develop a Case Study on the initiative. Case Studies will be available on ATALM’s website for use by other communities seeking to produce similar projects.
- Present a 10 or 15-minute session at the 2026 International Conference of Indigenous Archives, Libraries, and Museums in Spokane, Washington on September 21-24, 2026. A template will be provided to help guide the presentation.
2. Award recipients (one representative per organization) receive:
- Full conference registration, including pre-conference and evening events.
- Single lodging at the conference hotel
- Travel reimbursement for up to $500
- Recognition at the ATALM2026 conference

Presenter Support is prioritized for:
- Native presenters
- Presenters leading multiple sessions
- Presenters whose participation is essential to the program and whose organizations cannot provide financial assistance
What Presenter Support Covers: Support may include full or partial assistance with conference registration, depending on available resources. Travel support is not typically provided unless otherwise specified.
How Support Requests Are Considered: Session proposals are evaluated primarily on their quality, relevance, and contribution to a balanced and meaningful program. Because Presenter Support funds are limited, support requests may be taken into account during final program planning, but they will not be the sole determining factor in session selection.
Presenter Responsibility: Those requesting Presenter Support are asked to do so only if needed. Presenters receiving support are expected to attend the full conference, prepare high-quality sessions, and actively contribute to the exchange of knowledge that defines the ATALM experience.
Commitment to Accessibility: ATALM strives to reduce financial barriers to participation and encourages presenters from all backgrounds, especially Native communities, to submit proposals.

This form is for use by Indigenous communities seeking support. Eligible expenses include insurance, packaging, shipping, and other costs associated with the return.
You may request funding for the return of multiple items from the same institution. However, if you are seeking the return of items from multiple institutions, a new form must be submitted for each institution.
